Position Overview

Primary Purpose of Position
Under the supervision of the Director of Research and Extension Farm Operations, this position will serve the administrative needs for the University Farm, Farm Pavilion and the soon to be constructed Urban Food Complex. Associated duties in this position include, but are not limited to planning activities, database management, records administration, answering phones, ordering equipment and supplies, and other administrative duties as assigned.
Primary Function of Organizational Unit
The University Farm is a vital component of the College of Agriculture and Environmental Sciences, which is the oldest academic unit at North Carolina A&T State University. The primary purpose of the farm is to provide resources in the form of land, animals, water, personnel, expertise, equipment and facilities to researchers conducting studies in agriculture and serve as an outdoor laboratory for the CAES. The University farm is a 492 acre unit owned by the university with 15 permanent employees, 2-4 temporary employees and numerous student employees; annually and seasonal.
Work Hours 8-5 Monday-Friday
Is this position eligible for a remote or hybrid work arrangement, consistent with university and state policies. On-site (Employees are primarily in the office and/or have a critical job requirement that requires dedicated office space on-site)
Key Responsibilities and Related Competencies

Required Competency Information/Records Administration
Duties
Performs administrative support tasks such as proofreading, composing emails, correspondence, coordinating mailing, opening and distributing mail, preparing documents as needed. Searches via the internet.

Creates and edits administrative documents associated with the department's primary business.

Pays attention to detail and maintains accurate paper filing off status and monthly reports, incident reports for students and staff.

Executes and performs necessary job tasks related to securing purchase orders.

Maintains the daily shared calendar on Microsoft Office 365/MS Outlook scheduling appointments and events for the Farm Superintendent.

Provides log sheets for keys being requested for rooms on the University Farm, people having access to conference rooms in the Pavilion and the electrical equipment room, and performance evaluations sent to the Deans office for signature.

Supervises the inventory of items in the departments for Property Management on behalf of the Farm Superintendent
Required Competency Office Technology
Duties
Assists with the establishment of systems to streamline office flow via use of computers and other technology driven devices to ensure effectiveness and efficiency of administrative procedures.

Utilizes and stays current with new software and technologies in order to prepare documents and reports.

Utilizes copiers, printers, scanners, projectors, iPads, and a variety of office technologies to perform work.

Uses Aggie Access for time sheet reporting for self-service and student workers' timesheets per request.

Utilizes Aggie Mart to make requisitions and purchases
Required Competency Client/Customer Service
Duties
Greets personnel entering the office, determine the nature and purpose of visit and directs or escorts them to the appropriate person or area.

Receives incoming calls, screens and forward calls, providing detailed information when taking messages.

Listens and responds appropriately to the needs of the students based on their inquiries and refers them to the appropriate offices in the building or on campus.

Provides excellent customer service to students, faculty, administrators, staff, community supporters and others in a prompt, professional, ethical and courteous manner.
Required Competency Work Coordination/Planning
Duties
Serves as the building representative for certain buildings at the Farm, manages work order requests, and the distribution of keys for buildings.

Serves as the contact person for work orders through the Facilities Department for the University Farm.

Serves as the contact person to request service from IT on Cherwell.

Calls for service repairs of machines and food service for meetings when needed.

Keeps record of current and past tasks on the workboard.
