Bachelor's degree required along with a minimum of 2 years related experience. Demonstrated knowledge in higher education, college admissions, and/or recruitment preferred. Working ability to navigate a SIS (ie Banner) and admission application management system. Demonstrated skills in computer word processing and spreadsheets applications; excellent written and verbal communication; experience working with students, preferably graduate students; and strong commitment to diversity and inclusion.

Position Overview

Primary Purpose of Position
The Graduate Enrollment Coordinator (GEC) positions in The Graduate College support the mission of NC A&T in achieving and maintaining preeminent status and to contribute to sustaining an organizational culture and climate that increases the admission and retention of talented graduate students. Each GEC will foster an environment committed to providing exemplary customer service and will be responsible for all aspects of graduate student affairs from the initial recruitment phase through student graduation. Each GEC is a full-time staff who administers the daily functions of managing the admissions applications, academic status, graduation and degree clearance for a designated school/college. Each GEC will serve as a liaison between The Graduate College and their designated schools/colleges. As the school/college liaison, each GEC takes the lead in expanding the services provided to graduate students in ways that enhance their professional development throughout and subsequent to their matriculation at NC A&T State University.
Primary Function of Organizational Unit
The Graduate College oversees the academic operation of a number of graduate certificate programs, 30 master's degree programs, and 10 doctoral programs at North Carolina A&T State University with an enrolled graduate student body of about 1600 students. This oversight includes graduate program marketing; graduate admissions including the processing of over 2,000 admission applications per year; graduate curriculum development and implementation; graduate program review by external review teams; the formulation and implementation of academic policies pertaining to all aspects of graduate education; and the graduation of over 500 graduate students annually. In addition the Graduate College administers the annual distribution and expenditure of over $1.25 million in graduate assistantships, $685K in out-of-state tuition remissions , $265K in in-state tuition remissions, and $1.9M in Title III HGBI Federal graduate fellowship funding. The Graduate School is the primary unit responsible for reviewing and approving over 400 graduate assistantship contracts and EPAF's per year.

Key Responsibilities and Related Competencies

Required Competency Decision Making
Duties
Performs preliminary evaluations to determine equivalency for graduate admissions.

Serves as an admissions advisor to all prospective applicants.

Conducts information sessions for prospective students, both on and off campus.

Reviews and evaluates applications for completion.

Reviews admission applications and makes admissions decisions.

Maintain a system for tracking applications through various stages of the admissions process.

Communicate with academic and other administrative departments as needed to ensure timeliness of admissions decisions and responses to applicants.

Take initiative to resolve conflicts or questions directly by clarifying communication whenever possible.

Write letters, memoranda and emails to students, faculty, staff, administrators and others about academic and administrative issues and topics.

Knowledge of graduate level academic programs, policies and procedures and a general understanding of services provided by other administrative offices.


Required Competency Project Management
Duties
Create and support client relationship management (CRM) email communications copy, design, and strategies for admissions.

Documents and records continuous contact using the marketing and communication (M/C) system with each prospective applicant and tracks information to ensure smooth transition of applicant data.

Maintain the implementation of new contact strategies through vendor web-based marketing and communication (M/C) system.

Analyze existing communications strategies and interactive statistics.

Develop new email campaigns.

Develop and implement on-going strategies for managing email traffic for office's main email account.

Assists with the development of quality review charged with enhancing the receipt and processing of graduate admission applications from the online application management systems

Possess excellent organizational and verbal communication skills to present graduate policy and procedure information in student admissions and enrollment events, and faculty/staff workshops.

Duties
Exhibit communication patterns that are clear, grammatically correct, and professional in tone.

Advises prospective students on the application process, reviewing department admissions decisions, supporting programmatic efforts and effectively communicating with applicants throughout the recruitment and admissions cycle

Produces M/C activity reports regularly and as needed for the department.

Maintain a system for responding to applicant inquiries.

Ensure data integrity within the M/C system-maintain user privileges for the software (controlling access) and provide training for users of M/C software.

Generate reports as requested and obtain personal training as needed to understand and use M/C software reporting capabilities.

Manage updates needed in M/C software.
